A Simple Preventive Maintenance Checklist for Small Businesses

In a commercial space, small maintenance issues don't just look bad — they turn into downtime and customer complaints. A quick recurring check catches most of it early.

Weekly

Walk the customer-facing areas and note anything that looks worn — flickering lights, sticky doors, loose signage. Small stuff is fastest to fix before it becomes a bigger job.

Monthly

Check restroom and breakroom fixtures for drips or wear. Test entry door closers and locks. Replace HVAC filters if your system runs continuously during business hours.

Quarterly

Inspect exterior caulking and weatherstripping around entrances — this is both an energy-cost issue and a first-impression issue for customers. Check parking lot and walkway areas for trip hazards.

Annually

Have gutters cleaned before storm season. Check smoke and CO detector batteries. Walk the full exterior for signs of wear that build up slowly enough to go unnoticed week to week.

When to Call a Pro Instead

If you're managing multiple locations, a recurring scheduled visit from one point of contact is usually more reliable than relying on staff to flag issues as they notice them — small problems get missed when everyone's focused on running the business, not the building.
